HubSpot integration
Create or update a HubSpot contact for every form submission, with the submission saved as a note. Permissions, lifecycle stage and mapping.
The HubSpot integration creates or updates a contact for each new submission, matched by email, and adds the submission as a note on the contact's timeline.
Connect HubSpot
- In the dashboard, open Integrations in the sidebar.
- Open HubSpot and choose Connect HubSpot.
- Pick your HubSpot account and approve Ikiform. You come back to the dashboard when it's done.
You can also start from a form: adding HubSpot to a form that has no connection yet runs the same flow and brings you back to the form. One connection serves every form in the Ikiform workspace. See Connect an app.
Permissions
Ikiform asks HubSpot for permission to read and write contacts (crm.objects.contacts.read and crm.objects.contacts.write), and nothing else. It can't see your deals, companies, tickets or emails.
Contacts and notes
- Contacts are matched by email. Mapped fields are written on every submission, so the contact keeps the latest values.
- Lifecycle stage defaults to Lead. It's only set when the contact has no stage yet, so an existing customer is never moved back to lead. Choose Don't set to leave it alone.
- Each submission adds a note on the contact's timeline, dated when the submission arrived.
- Any contact property you can edit in HubSpot can be a mapping target, including custom properties.
Field mapping, matching by email and duplicate checks work the same for every CRM. See CRM field mapping.
When it stops sending
If Ikiform was removed from your HubSpot account, the card says Needs reconnecting. Choose Reconnect. If a submission has no email, see Submissions without an email.
Disconnect
Open HubSpot under Integrations and choose Disconnect on the connection. Ikiform's access is revoked. Contacts and notes already written stay in HubSpot.
Activity, retries and roles
Runs, retries, Replay failed, pausing and who can manage integrations work the same for every app. See Activity and retries, Pause and resume and Who can manage integrations.
