Integrations

Send each submission to Slack, Discord, Telegram, Google Sheets, Notion, Airtable, HubSpot, Attio or Pipedrive without Zapier. Connect once, pick a destination per form, and retry failed runs.

Integrations send each new submission straight to an app your team already uses. Chat apps, spreadsheets, databases and CRMs are built in: you connect the app once, pick a channel, chat, spreadsheet, database or table for each form, and Ikiform does the rest. Failed sends are retried on the same schedule as webhooks and logged run by run.

Integrations are included on every plan, with no extra charge per app. They don't count toward your webhook endpoints.

Automation tools reach thousands of other apps. Connect them with a webhook endpoint, not from the Integrations tab. The Integrations page also lists apps marked Coming soon; until one is built in, a webhook and one of the guides on the blog get submissions there.

Connect an app

An account is connected once per Ikiform workspace: one Slack workspace, Discord server, Google account, Notion workspace, Airtable account, HubSpot account, Attio workspace or Pipedrive company. Every form in the workspace can then use it, and adding more destinations never asks you to sign in again. Telegram is the exception: each chat or group you link is its own connection.

  1. In the dashboard, open Integrations in the sidebar.
  2. Open the app and choose its connect button, such as Connect Notion.
  3. Approve Ikiform in the app. You come back to the dashboard when it's done.

You can also connect from a form: if the app isn't connected yet, adding it to the form starts the same flow and returns you to the form to pick a destination. To use a second account of the same app, choose the option to connect another one in the add dialog.

Add an integration to a form

  1. Open the form and go to its Integrations tab.
  2. Choose Add integration and pick the app.
  3. Pick the destination. For Slack and Discord, search for a channel. For Telegram, link a chat. For Google Sheets, create a new spreadsheet or choose one from your Drive. For Notion and Airtable, create a database or table, or choose one. For HubSpot, Attio and Pipedrive, check the field mapping.
  4. Choose Send test on the new card to check it arrives.

An integration is on as soon as you add it. From then on, every new submission to the form is sent to it. A form can send to several destinations at once, but not to the same channel, spreadsheet tab, database or table twice.

  • Only submissions received after you add the integration are sent. Earlier submissions aren't backfilled; export them if you need them in the sheet.
  • Spam is never sent to an integration. If you mark a spam submission as not spam, it's sent then.
  • Submissions held because the workspace is over its limit are sent when they're released.

App guides

Each app has its own page with its permissions, destinations and exactly what it sends.

Slack

A message in a public or private channel. See Slack.

Discord

An embed in a server channel, posted by the Ikiform bot. See Discord.

Telegram

A message in a private chat or a group. See Telegram.

Google Sheets

A row in a spreadsheet Ikiform creates or one you pick. See Google Sheets.

Notion

A page in a Notion database, with fields matched to properties. See Notion.

Airtable

A record in an Airtable table, with fields matched by name. See Airtable.

HubSpot

A contact, created or updated by email, with a note. See HubSpot.

Attio

A person, created or updated by email, with a note. See Attio.

Pipedrive

A lead for the person, with the submission as a note. See Pipedrive.

How CRM integrations work

HubSpot, Attio and Pipedrive share field mapping, matching by email and duplicate checks. See CRM field mapping.

Send a test

Send test on an integration's card sends a sample submission from Ada Lovelace with a name, an email and a message, marked as a test. Slack, Discord and Telegram get a message headed Test message from Ikiform. Google Sheets, Notion and Airtable get a row, page or record with the Submission ID test. HubSpot, Attio and Pipedrive create or update a record for ada@example.com, using your field mapping, with a note titled Test from Ikiform; Pipedrive also adds a lead. Delete test records whenever you like. A test is sent once and never retried.

Activity and retries

Choose Activity on a card to see its runs, newest first, with a filter by status. Each run is a new submission or a test message. Expand one to see each attempt: when it ran, whether it was automatic, manual or a test, and the error if it failed. Choose Retry on a failed run to send it again within a minute.

When an app is down or rate limits Ikiform, the run is retried on the webhook schedule: 9 attempts over about 3 d 6 h, each delay with up to 20% random jitter. When the app asks Ikiform to wait, it waits that long, but no later than the next step. An error that won't change by retrying, such as a deleted channel, fails the run right away.

Replay failed runs

Choose Replay failed in the activity panel and pick the last 24 hours, 3 days or 7 days. Every submission whose run failed in that window is sent again, up to 1,000 at a time. The integration must be active, and tests are never replayed. Runs are kept for 90 days and their attempts for 30 days.

Pause and resume

Choose Pause in a card's More actions menu to stop sending without removing the integration, and Resume to start again. Submissions received while an integration is paused are never sent to it. Runs that were waiting to retry fail instead; after you resume, Replay failed sends them again. Send test still works while paused.

When a connection breaks

An integration breaks when Ikiform can no longer reach its destination. The card is marked Needs reconnecting or Needs attention, and the workspace's notification address, or its owners, get one email for each breakage with a link to fix it. A broken integration sends nothing until it's fixed, and submissions received in the meantime aren't sent to it.

What happenedWhat breaksHow to fix it
Ikiform was removed from the Slack workspace, Discord server, Notion workspace or CRM, the bot was blocked or removed in Telegram, or access was revoked in Google or AirtableThe connection, and every integration that uses itReconnect on the card, or on the app's page under Integrations
A channel was deleted or archived, or the bot lost access to itThat integration onlyChoose another channel
A spreadsheet was deleted, or Ikiform lost access to itThat integration only. The Google account and other forms keep workingCreate a new sheet or Choose another sheet
A Notion database or Airtable table was deleted, trashed or unsharedThat integration onlyChoose or create another database or table

Reconnecting brings back every integration that broke with the connection. After you choose another channel or sheet, Ikiform counts the runs that failed in the last 7 days and offers to replay them. You can also use Replay failed at any time.

Disconnect an app

To remove one destination, choose Remove in the card's More actions menu. To disconnect a whole account, open the app under Integrations and choose Disconnect on the connection. Every form that used it stops sending there, and its activity is deleted. What happens in the app itself is described on each app's page.

Integrations and webhooks

Integrations and webhooks run side by side. A submission goes to every integration on its form and every webhook endpoint that subscribes to it, each with its own retries and log, so a slow endpoint never holds up a Slack message. Use an integration to tell people, fill a sheet or database, or add leads to a CRM, and a webhook to send signed data to your own code or to an automation tool.

Integrations send new submissions only. Deleting a submission in Ikiform doesn't remove its message or row. For updates, deletions or spam events, use a webhook endpoint subscribed to those events.
