Airtable integration
Add a record to an Airtable table for every form submission. Permissions, choosing a table, field types and rate limits.
The Airtable integration adds one record for each new submission to a table you pick, or one Ikiform creates in a base you choose.
Connect Airtable
- In the dashboard, open Integrations in the sidebar.
- Open Airtable and choose Connect Airtable.
- In Airtable, pick the bases Ikiform can use and approve. You come back to the dashboard when it's done.
You can also start from a form: adding Airtable to a form that has no connection yet runs the same flow and brings you back to the form. One connection serves every form in the Ikiform workspace. See Connect an app.
Permissions
Ikiform asks for these permissions, plus your email address to name the connection:
| Scope | Used to |
|---|---|
data.records:read | Read records in the tables you pick |
data.records:write | Add a record for each submission |
schema.bases:read | List your bases, tables and fields |
schema.bases:write | Create a table, and add fields for new form fields |
user.email:read | Name the connection after your Airtable account |
Create or choose a table
| Option | What happens |
|---|---|
| Create a table | Pick a base. Ikiform creates <form name> responses (Ikiform) with Name, Submitted at (date and time, UTC) and Submission ID fields. You need to be a creator in the base |
| Choose a table | Pick any table in a base you can edit. If it doesn't have Submitted at and Submission ID fields, Ikiform adds them |
Records and fields
- Each submission adds one record. Fields are matched to fields by name, first exactly, then ignoring case, and a field with no match gets a new long text field.
- Values are converted to the field's type, including numbers, currency, percent, rating, checkbox, single and multiple select, date and date with time. A value that doesn't fit goes to a text field named after it with
(text)added. - Records are written by
Submission ID, so a retry updates the same record instead of adding a second one. - When Airtable rate limits Ikiform, the run waits 30 seconds, or as long as Airtable asks, and tries again.
Ikiform renews its access to Airtable before it expires, and renews connections that haven't sent anything for 30 days, so a quiet form doesn't lose its connection.
When it stops writing
- If access was revoked in Airtable, the card says Needs reconnecting. Choose Reconnect.
- If the table was deleted or Ikiform lost access to its base, choose or create another table.
Disconnect
Open Airtable under Integrations and choose Disconnect on the connection. Ikiform deletes its stored access, because Airtable has no way for apps to revoke it. To remove Ikiform from your Airtable account too, do it in Airtable's integration settings. Records already written stay in the table.
Activity, retries and roles
Runs, retries, Replay failed, pausing and who can manage integrations work the same for every app. See Activity and retries, Pause and resume and Who can manage integrations.
